What part will you play?
  • You will be the assistant of a team of fast-paced professionals working on 30+ active M&A projects at all times, in various stages (acquisitions, divestments and post-closing management)
  • You will be a resource coordinator: track, monitor and manage the allocation of team members and the projects they’re working on and the level of workload to ensure efficient resource allocation
  • Design, organize and monitor a filing system (excel or other) that tracks all contractual deadlines for all M&A projects and notifies professionals of all upcoming deadlines; as well as archive all required documentation needed for effective claims management, litigations from M&A or arbitration procedures including communication and correspondence 
  • You are responsible for ensuring office financial objectives by handing the office budget (e.g. office supplies and equipment, team dinners, training, etc) including creating and approving purchase orders and invoices and analyzing variances to budget 
  • Maintain and prepare regular financial reporting for progress of legal claims, litigations or arbitrations and handling of payments of invoices for such procedures
  • Participate actively in organizing recruitment activities and on-boarding new team members, Team trainings, Team events / workshops, and key meetings with external parties
  • Book travel and accommodation for the team as required, including of handling travel expenses and any other expenses incurred on projects, for the team 
  • Provide support to Team Leader as needed – meeting coordination and admin support
  • You will provide secretarial and administrative support for e.g. maintaining agendas, planning appointments and business trips 
  • You can also support subject-related topics by, among other things, creating statistics, reports, and presentations. 
What you need to make real what matters.
  • You have successfully completed a 3-year commercial apprenticeship 
  • You have prior professional experience (+ 3 years) of being an assistant / office manager to a team of professionals in M&A or advisory roles in a fast-paced environment 
  • Project management experience and experience in designing processes to maximize efficiency is necessary 
  • You have highly advanced skills in Excel, PowerPoint, Outlook as well as some experience with purchasing and invoicing systems
  • You have managed financial budgets and are familiar with basic accounting and forecasting
  • You have impeccable attention to detail and ability to manage multiple stakeholders at once
  • Excellent customer service and interpersonal skills for effective communication with a wide range of personalities is a must 
  • You have profound planning and organizational skills, are highly reliable, take ownership for your tasks and are used to working in stressful and fast-paced environments
  • Fluent verbal and written communication skills in English and German round off your profile
