Job Description


Overview / Mission of function

  • Support the team/department’s effectiveness by ensuring a highly effective level of administrative support.
  • Be accountable for a broad range of activities ranging from basic administrative tasks, to problem solving and query handling, to actively contributing to projects within the team/division.
  • Be a focal point for the team and liaise with employees, judging priorities and ensuring the delivery of a high level of service
 

Responsibilities:

  • Effectively provide professional administration support to the Leaders/Managers/Department as necessary
  • Establish, maintain and develop efficient office and administration systems and processes, to ensure the smooth and effective running of the office at all times
  • Responsible for managing diaries, organizing internal/external meetings / events, booking of travel arrangements and couriers
  • Act as the focal point for the Leaders/Managers / team members, judge the work priorities and proactively manage conflicting demands of the team
  • Administer and minute key meetings, including the management of meetings rooms
  • Collate and produce high standard documents for a variety of forums including team and management meetings, other meetings, reports and publications
  • Manage basic correspondence with internal / external clients
  • Manage cost justification for the team and got the necessary approvals
  • Manage and follow up on IT needs for the team.
  • Run reports as required and assist with the administration and co-ordination of departmental reports
  • Responsible for purchasing office supplies, stationaries, trainings and various items required by the management team, using the relevant Siemens tools e.g. SAP, Concour, etc. and processing any invoices/expenses
  • Manage and organize lockers, ID card process and access rights to the building
  • Contribute to projects and activities as appropriate for the team e.g. project co-ordination, research,
  • presentation and communication support and day-to-day operational activities
  • Proactively identify where additional support can be given to the leaders/managers in the team
  • Support and operate filing and database systems, carrying out regular reviews to ensure accuracy and completeness
 

Requirements:

  • Relevant experience of providing secretarial and administrative support to a team gained in a complex environment
  • Fluent English spoken and written
  • Comprehensive knowledge of MS-Office tools
  • Able and willing to establish effective office systems and procedures
  • Committed to work without permanent supervision
  • High integrity as required for managing confidential information in a diplomatic style
  • Qualified for processing financial data or arranging payments is desirable
  • Experience of processes involved in the preparation and administration of training courses and events is desirable
