Document Control Assistant

Job Description

Siemens Mobility Limited are recruiting for a Document Control Assistant for our Rail Infrastructure business in Derby. You will support the Document Control Manager to ensure the smooth day to day running of both the Document Control and Source Document Control departments. You will also provide efficient, and competent cover for all aspects of Document Control and Source Document Control during busy periods, annual leave, and absence.

This role is a full time position working 37 hours per week. Additional hours may be required depending upon the needs of the business.


  • Assist with the control of Siemens Project documentation as specified and controlled by Siemens BMS, Audit and Quality Processes and Procedures.
  • Work closely with the relevant Client Document Controllers to ensure the project documentation system is adhered to and that their numbering / referencing procedure is adhered to.
  • Assist document controllers with Trackers once they are created with Engineers, DC to ensure these are completed and maintained throughout the Projects lifetime.
  • Assist with ensuring that the correct documents (latest revisions and referenced documents) are readily available to Project Teams as and when required and ensure that documents are correctly stored and available to site teams when requested.
  • Assist with ensuring the documents are transmitted/submitted to the Client, sub-contractors and project teams within the timescales required by the contract.
  • Ensure that responses required from the Client, sub-contractors and project team are received within the timescales required by the contract.
  • Support the Source Document Controller with ordering and managing of controlled source records
  • Support the return of controlled source records post project completion.
  • Production of site documentation from Production Office Copies
  • Print and issue sets of design documentation required to be transferred between different engineering sites
  • Assist with the production of correlation prints
  • Produce transmittal documentation

Essential Requirements:

  • Experience working in Document Control
  • Flexible and adaptable to a range of working methods and processes.
  • Computer literate and proficient in Microsoft Word, Excel, PowerPoint, Visio and Outlook
  • Methodical, well organised and able to communicate at all levels.
  • Must be customer service focused and have experience of dealing with external clients.
  • Good team player, self-motivated, pro-active and able to work with minimal supervision.
  • Knowledge of rail industry would be advantageous
