Introduction

This position is to support Delegation Center team with administrative tasks and delegation benefit topics following Siemens internal circulars and rules. He/she will coordinate and cooperate with delegation consultants and other departments like accounting or controlling department on delegation related topics to ensure the conduction of smooth and standardized delegation process. He/she will also use advanced IT tools to maintain and generate data and documents regularly and punctually.


What are my responsibilities?

The DS specialist enables the delegation team to focus on their core tasks by acting as administrative assistant.

Regularly prepare reports (e.g., exchange rate report, monthly delegation status report, CC report) as needed by delegation consultants or other parties to keep updated of delegation status or charging information, etc.

Support data maintenance on internal IT tool (IHRIS) to ensure the completeness and accuracy of data and documentations.

Support delegation consultants to issue or apply for required certificates/documents (e.g., CoC, working certificate, contract, etc.) and upload into IHRIS.

Maintain and organize large number of templates on WTS tool to support delegation consultant to conduct smooth delegation process.

Keep record and monitor delegation benefit reimbursement.

Prepare, maintain, and provide information or documents as needed by other parties.

Manage and arrange delegation benefit related payment (e.g., schooling payment, medical membership payment etc.)

Place service orders to assigned vendors for relevant services (e.g., tax, removal, etc.) as requested by delegation consultants.

Collect and prepare annual or monthly compensation files for annual tax filing or monthly tax withholding for inbound and outbound delegations.

Regularly run and upload Travel Trackers.

Plan own resources and assigned tasks in accordance to given time and quality.

What do I need to qualify for this job?


Education:

Bachelor or above

Knowledge/Languages:

English

Basic knowledge about accounting & annual filing process in China.

Proficient in MS Office applications, especially Excel

Attention to detail, well organized working style, able to work independently

Experience:

Background in business administration, HR or tax assistant. Working experience in delegation business preferred.

Intercultural Experience, bi-lingual upbringing, familiarity with Asia
