What You’ll Be Doing:
Supplyframe, recently acquired by Siemens, is looking for an Office Manager based in our HQ office (Pasadena, CA). This individual will organize and coordinate administrative duties and office procedures. You will report directly to the People & Culture (HR) Director but also support other executive/senior leaders within the organization. The ideal candidate is independent/self motivated, works efficiently (with little to no supervision) and provides high level administrative and confidential support.
Answer incoming phone calls, schedule virtual/in-person meetings & appointments, greet customers/visitors and provide general administrative support to our employees
Serve as the point of contact for office maintenance & amenities, manage inventory for office supplies/equipment (coordinate with IT as needed), handle all shipping & receiving and mail management
Act as travel liaison by booking flights, reserving hotel rooms, etc. for internal and external stakeholders
Liaise with facility management vendor, including cleaning, catering and security services
Throughout day-to-day operation, having knowledge of the company’s policies and best practices to ensure compliance
Assist in HR administrative duties such as scheduling interviews, assist in new hire onboarding, data entry, maintaining health & safety protocols for the office, etc.
Support marketing to plan activities, events, celebrations & conferences
Who/What We Are Looking For:
Bachelor’s degree is preferred and at least 2 years of related experience required.
Software Development/SaaS industry experience is desirable.
Proven experience as an Office Manager, Front Office Manager or Executive/Administrative Assistance or other customer-facing roles
Knowledge of Office Administrator responsibilities, systems and procedures
Proficiency in MS Office
Excellent time management skills and ability to multitask and prioritize work
Attention to detail, problem solving skills and extremely proactive
Excellent verbal and written communication skills
Strong organizational and planning skills in a fast paced environment
A creative mind with an ability to suggest improvements
