Job Description
  • Executive Administrative position supporting CSD Division of Siemens DISW reporting directly to GM
  • Administrative duties include, but are not limited to travel related needs, facilities requests, expense report management, eForms, PCard purchases, department supply orders, computer/phone orders, PO processing, etc.
  • Calendar and team collaboration management using tools like MS Outlook and SharePoint, including maintenance of distribution and access lists
  • Meeting planning and logistics, for both internal and external meetings
  • Assist managers’ needs for hiring, termination and on-boarding processes of employees and contractors, to include the opening of personnel requisitions, arranging interview schedules and assisting with coordination of other employee related processes
  • Assistance with purchasing process for services provided by outside service providers
  • Coordination of catering, etc. for department events and meetings
  • Coordinate large team meetings, Division social gatherings, seminars, dinners, etc.
  • HR systems support and processing as required
  • Occasional event management logistical support – Potential for limited travel (optional) – presuming return to pre-pandemic conditions
  • Support of outbound programs including Verification Academy (web portal), Verification Horizons (quarterly publication), internal and external web-site posing
Candidate Requirements
  • 5+ years of Executive Administrative Assistant experience in a medium-to-large corporate environment
  • Experience working with remote managers and globally distributed teams
  • Proven experience in building strong relationships
  • 2-year associate’s degree (4-year bachelor’s degree a plus)
  • Proven administrative and communication skills
  • Proficient in working on a PC using Microsoft Office - Outlook, Word, Excel, and PowerPoint
  • Ability to learn team-based applications – Teams, Concur, WorkDay, Sharepoint
  • Ability to organize, problem solve, multi-task, exercise discretion, and show initiative
  • Attention to detail, problem solving, and strong organizational skills
  • Ability to manage multiple priorities, exercise discretion and show initiative
  • Comfortable working in a self-directed environment
  • Exemplary interpersonal and written communication skills
  • Ability to make sound decisions, establish plans, work efficiently, and manage execution
  • Work collaboratively, effectively, and build/foster relationships at all levels of the organization
  • Adaptable to work effectively across global boundaries, time zones and cultures
