Management Assistant & Order Tracking Professional

Job Description

For our Smart Infrastructure Building Products Business Unit we are looking for Management Assistant & Order Tracking Professional to be located in Kartal who will be engaged for supporting key management functions at Business Unit management level and follow up of customer orders track & trace, deliver processes in product business. 

What part will you play? 
a.
• Manage the unit managers’ calendar, including making appointments and prioritizing the most sensitive matters and travel arrangements,
• Prepare presentations, reports, memos, letters and other documents and maintain relevant records, documents and fulfill filing systems; type and/or enter data into computer systems, including Office applications or software packages,
• Research and conduct data to prepare documents for review and presentation by boards of directors, committees, and executives,
• Recording Sales activities of Management to relevant CRM tools (SieSales etc.)
• Prepare or complete routine/specialized reports, in order to support decision processes in the area assigned,
• Arrange communication and coordination within the Business Unit and between Business Units,
• Support the organization of management team activities,
b.
• Communication and coordination with Customers, Sales and Procurement teams,
• Tracking of daily customer requests and orders via SAP & internal tools,
• Follow up of orders statuses via tracking open order reports; either informing relevant parties or proceeding with bottlenecks, missing parts, late deliveries, missing confirmations,
• Follow up and coordinate commercials for issuance of service invoices to customers,  
• Coordinating communication of customer order templates, training and ensuring customers for clean order (due termin, customer number, discounts, etc.),
• Communicate with customer for delivery approval and coordinate local warehouse for outbound delivery orders to customer,
• Daily KPI monitoring and reporting,
• Coordinate receival of customer returns and ensuring commercial documentation bookings,
• Coordinate and inform customer /warehouse / sales / order management for damaged and missing materials,
• Coordinate and communicate with commercials for issuance of invoices for damaged and missing materials.
• Supply customs declarations to customers

What you need to make real what matters.


• Bachelors degree,
• Fluent command of both written and spoken English,
• Excellent knowledge of MS office applications, SAP & Sales force experience will be a plus,
• Strong communication and organizational skills,
• Eager to learn and discover new technologies,
• Inspired by digital transformation,
• Good at analytical thinking, result-oriented, team-oriented, open-minded attitude,
• Ability to organize a daily workload by priorities in a multitasking environment,
• Ability to adapt and lead in fast paced work environment,
• High degree of discretion when taking care of confidential information.
