What you will do for Siemens Smart Infrastructure:

Are you ready to positively impact the Learning Experience for Smart Infrastructure RSS RAM employees and customers? Do you also want to join a high functioning team and enjoy what you do? This full-time position is located at the Siemens Training Facility in Buffalo Grove, IL.

  • Welcoming visitors and direct them to their classroom
  • Review and submit work orders for building maintenance
  • Ensure office supplies are maintained and work with vendors to replenish materials when needed
  • Order training materials and coordinate shipments of materials to off-site classrooms as needed
  • Works with vendors and other outside service providers as required to assist with (ensure is in the next bullet) accurate and timely delivery of training materials and services
  • Performs all administrative support duties to ensure all training courses will run smoothly, including classroom setup, training materials, catering, etc.
  • Provides administrative support to SI Academy (Smart Infrastructure Academy) supervisors, managers or director
  • Assist in organizing meetings and events as assigned
  • Develop and run reports for use in vendor applications for training use

Responsibilities:

  • Welcoming and assisting visitors in a friendly and professional manner
  • Act as central functions support for administration and training needs as the receptionist for SI Academy
  • Order and track shipping materials for classes. Correspond with onsite contacts to determine actions needed if material cannot be located
  • Order inventory as needed for student kits
  • Enter, delete and modify students’ data in Learning Management System
  • Use complex Excel functions to monitor data
  • Communicate with managers and employees via telephone and email
  • Gather and enter student sign in results 
  • Produce class data for instructors
  • Contribute at logistics meetings
  • Setup training material in training rooms
  • Respond to student questions

Qualifications:

  • High School diploma, state-recognized GED, or state-recognized high school proficiency exam
  • 2+ years of related experience
  • Ability to learn custom software (Learning Management system)
  • Excellent time management and problem-solving skills
  • Excellent written and verbal skills
  • Proficient in Excel with data manipulation, functions and formulas
  • Proficient in word processing, email and presentation software
  • Ability to work well in a team environment and have attention to detail
  • Good organizational skills and ability to handle multiple assignments
  • Positive attitude, creative, dependable, ambitious, with a growth mindset
  • Knowledge about learning management systems and e-learning platforms a plus
