You’ll make a difference by:
- We are seeking a detail-oriented and proactive Order Management & Fulfillment Specialist to manage the end-to-end order processing lifecycle. This role is responsible for verifying customer documents, creating and managing sales and purchase orders, coordinating with internal and external stakeholders, monitoring order fulfillment, and ensuring accurate and timely invoicing.
- Order Verification and Processing
- Verify critical customer documentation: PO, Delivery Date, Price, MOQ, Offer, Payment Terms, Inco Terms, and Discounts.
- Create, change, and cancel Sales Orders (SO) in SAP.
- Initiate customer code creation/extension/modification requests in Pega.
- Request SFS rating, credit limit enhancements, and material/vendor master creation/extension as needed.
- Purchase Order (PO) Management
- Check and update Open PR SAP reports.
- Create, change, or cancel POs.
- Monitor PO approvals and release to suppliers.
- Verify material/license documentation before PO issuance.
- Material & Vendor Management
- Create/extend materials and vendor codes via Pega.
- Coordinate with OMS, factory, and vendors for order follow-ups.
- Extract and analyze order tracking reports; provide daily status updates.
- Order Fulfillment
- Confirm orders to customers.
- If stock is available, coordinate with Logistics for Delivery Note (DN) creation.
- Generate Proforma Invoices based on order conditions.
- Expedite and prioritize orders when required.
- Shipment & Logistics Coordination
- Monitor dispatch dates, freight arrangements, and shipment notifications.
- Oversee shipment booking, ETD/ETA, and warehouse coordination.
- Share DNs with warehouse under special conditions; ensure CRG release and GI monitoring.
- Handle cross-border shipments, overseas warehousing, and local transportation.
- Delivery & Documentation
- Handle Proof of Delivery (POD), delivery damage, and non-DDP deliveries.
- Post GR and DN in SAP.
- Manage claims related to returns, shortages, and shipping issues.
- Invoicing and Document Compliance
- Receive and validate requests for invoice creation.
- Check PODs in shared folders; collate necessary documents.
- Verify documents and signatures before invoice generation.
- Create and share invoices with customers, upload PODs in SAP.
Your success is grounded in:
- 7–8 years of experience in order management, logistics, or supply chain operations.
- Strong knowledge of SAP (SD/MM) and workflow tools like PEGA.
- Excellent document verification and process compliance skills.
- Proficient in MS Excel and order tracking/reporting.
- Effective communication and coordination skills across teams.
- Bachelor’s degree in Supply Chain, Business Administration, or related field.
- Knowledge of Incoterms, import/export regulations, and DDP/non-DDP handling.
- Experience with warehouse and freight logistics operations.
