Your Roadmap

As a Project Assistant (PA) you support the Project Manager and the project team in the efficient coordination, administration, and follow-up of project activities. You ensure smooth day-to-day project operations by facilitating communication, maintaining accurate records, and supporting reporting and organizational processes, in alignment with project procedures and PMO guidelines (including offshore PMO when applicable).


Your main responsibilities are:

 
  • Support the Project Manager and project team in coordinating and monitoring day-to-day project activities.
  • Serve as the primary administrative and organizational point of contact for the project team.
  • Coordinate communication between onshore and offshore teams to ensure effective collaboration.
  • Organize project meetings, workshops, and governance sessions, including scheduling and logistics.
  • Prepare agendas, meeting materials.
  • Monitor action items and ensure timely updates from stakeholders.
  • Maintain project documentation, filing systems, and version control to ensure information accuracy and accessibility.
  • Manage project correspondence, communications, and distribution of key information.
  • Prepare and format presentations, reports, dashboards, and status updates.
  • Coordinate onboarding activities for new project team members, including access requests and documentation.
  • Ensure compliance with project methodologies, governance processes, templates, and PMO standards.
  • Maintain project trackers, action logs, and support reporting activities.
  • Facilitate information flow and collaboration across project teams and stakeholders.
  • Support the implementation of PMO best practices and continuous process improvements.
  • Assist with project planning, scheduling, and administrative coordination to ensure timely delivery of project objectives.
 

Keys to Success

  • Experience of 2-5 years in a similar role
  • Proficiency in MS Office tools (Excel, PowerPoint, Word, Outlook) and collaboration platforms (e.g. SharePoint, Teams)
  • Strong planning and organizational abilities
  • Ability to manage multiple tasks and priorities in parallel
  • Attention to detail and structured way of working
  • Clear and professional communication (written and verbal)
  • Ability to interact with multidisciplinary and multicultural teams
  • Proactive attitude in information sharing and escalation
  • Good level in English and France, Spanish is bonus
  • Reliable, proactive, and service-oriented mindset
  • Ability to work under pressure
  • Team player with a collaborative approach
  • Flexibility and adaptability in a dynamic project environment
