Position Overview:
The ASEAN Payroll Specialist is responsible for managing end-to-end payroll operations for employees across Malaysia and Philippines. This role ensures accurate and timely payroll processing while maintaining compliance with country-specific statutory, tax, and labor regulations. The Payroll Specialist will be responsible for payroll processing, statutory compliance, payroll reconciliations, employee query management, and collaboration with HR, Finance, Tax, and external payroll vendors. Hands-on experience with SAP Payroll/ Relevant payroll application and strong knowledge of multi-country payroll operations are highly preferred.
You’ll make a difference by:
- Payroll Processing
- Process monthly payroll for employees across Malaysia, Philippines, and Indonesia.
- Ensure accurate and timely disbursement of salaries, allowances, bonuses, incentives, and other employee payments.
- Process payroll input including new hires, terminations, salary revisions, transfers, promotions, and leave adjustments.
- Coordinate with in-country payroll vendors and stakeholders to ensure payroll accuracy and adherence to established timelines.
- Validate payroll results and perform pre-payroll and post-payroll checks prior to payroll sign-off.
- Manage Full and Final Settlement (FnF) processes for terminated employees as per local regulations.
2. Compliance & Statutory Administration
- Ensure compliance with local labor laws, payroll regulations, and statutory requirements within Malaysia, Philippines, and Indonesia.
- Prepare, review, and submit statutory filings and reports as required by local authorities.
- Monitor regulatory and legislative updates and implement payroll changes accordingly.
- Ensure accurate calculation and remittance of country-specific statutory deductions and employer contributions.
Malaysia
- Manage payroll compliance relating to:
- Employees Provident Fund (EPF)
- Social Security Organization (SOCSO)
- Employment Insurance System (EIS)
- Monthly Tax Deduction (MTD/PCB)
- Support annual tax reporting and employee tax documentation.
Philippines
- Manage payroll compliance relating to:
- Bureau of Internal Revenue (BIR)
- Social Security System (SSS)
- PhilHealth
- Pag-IBIG Fund
- Support year-end tax reporting and employee tax certificate requirements.
3. Data Management
- Maintain accurate payroll records and employee master data within SAP and payroll systems.
- Ensure completeness, integrity, and confidentiality of employee payroll data.
- Verify payroll inputs and perform payroll reconciliations.
- Prepare and distribute payslips and payroll-related reports.
- Maintain payroll-related documentation and audit records.
4. Issue Resolution
- Respond to employee payroll-related inquiries and resolve issues within agreed service levels.
- Investigate payroll discrepancies and coordinate corrective actions.
- Liaise with HR, Finance, Tax teams, and external payroll vendors to ensure timely issue resolution.
- Provide support and guidance to employees regarding payroll calculations, statutory deductions, and taxation matters.
5. Process Improvement
- Find opportunities to improve payroll processes, controls, and efficiencies.
- Support payroll standardization and automation initiatives across ASEAN countries.
- Participate in payroll system upgrades, SAP enhancements, testing activities, and implementation projects.
- Develop and maintain payroll process documentation and standard operating procedures (SOPs).
6. Reporting & Audit Support
- Generate payroll reports, statutory reports, reconciliations, and management dashboards.
- Support internal and external audits by providing payroll documentation and analysis.
- Assist Finance teams with payroll accounting, accruals, and reconciliations.
- Prepare payroll metrics and compliance reports for management review.
Your success is grounded in:
- Bachelor’s degree or equivalent experience in accounting, Finance, Commerce, Human Resources, or a related field.
- Minimum 5–7 years of payroll experience with exposure to ASEAN countries.
- Strong knowledge of payroll administration for Malaysia, Philippines, and Indonesia.
- Experience managing multi-country payroll operations within a shared services environment.
- Strong understanding of country-specific statutory, taxation, and labor law requirements.
- Hands-on experience with SAP Payroll (Required).
- Experience working with external payroll vendors and service providers.
- Strong attention to detail and commitment to payroll accuracy.
- Strong analytical, reconciliation, and problem-solving skills.
- Excellent communication and stakeholder management abilities.
- Ability to handle sensitive and confidential payroll information.
Preferred Skills
- SAP HCM Payroll expertise.
- Experience working in Global Business Services (GBS) or Shared Services environments.
- Advanced Microsoft Excel skills, including Pivot Tables, VLOOKUP, and data analytics.
- Knowledge of payroll accounting and financial reconciliations.
- Experience managing payroll audits and compliance reviews.
- Professional Payroll, Finance, HR, or Accounting certifications are advantageous.
- Exposure to additional ASEAN country payrolls is an added advantage.
