Position Overview:

The India Payroll Specialist is responsible for managing end-to-end payroll operations for employees across India. This role ensures accurate and timely payroll processing while maintaining compliance with Indian Labor laws, taxation requirements, and company policies. The Payroll Specialist will be responsible for monthly payroll processing, statutory compliance, quarterly and annual tax filings, payroll reconciliations, employee query resolution, and collaboration with HR and Finance teams. Hands-on experience in SAP Payroll is mandatory.

You’ll make a difference by:

  1. Payroll Processing
  • Process monthly payroll for employees across India using SAP Payroll.
  • Ensure accurate and timely disbursement of salaries, bonuses, incentives, reimbursements, allowances, and other employee payments.
  • Process payroll input includes new hires, terminations, transfers, promotions, salary revisions, and leave adjustments.
  • Calculate and process statutory deductions such as Provident Fund (PF), Employee State Insurance (ESI), Professional Tax (PT), Labour Welfare Fund (LWF), and Income Tax (TDS).
  • Manage Full and Final Settlements (FnF) for exiting employees.

2. Compliance & Statutory Administration

  • Ensure compliance with applicable Indian labor laws and statutory regulations.
  • Prepare, review, and submit statutory filings within prescribed timelines.
  • Manage quarterly TDS return filings and tax reconciliations.
  • Support annual payroll tax activities including Form 16 generation and distribution.
  • Ensure compliance with Income Tax requirements related to employee taxation, investment declarations, tax proofs, and payroll reporting.
  • Stay updated on legislative and regulatory changes affecting payroll and implement necessary updates.

3. Data Management

  • Maintain accurate employee payroll records and master data within SAP.
  • Validate payroll inputs and perform pre-payroll and post-payroll reconciliations.
  • Ensure data integrity and confidentiality of employee payroll information.
  • Prepare and distribute employee payslips and payroll-related communications.
  • Maintain payroll documentation and audit trails.

4. Issue Resolution

  • Respond to employee payroll and tax-related queries in a timely manner.
  • Investigate and resolve payroll discrepancies and payment-related issues.
  • Partner with HR, Finance, Tax teams, and third-party vendors to resolve payroll concerns.
  • Provide guidance to employees on payroll, taxation, and statutory deductions.

5. Process Improvement

  • Identify opportunities to streamline payroll processes and improve operational efficiency.
  • Support payroll transformation, automation, and system enhancement initiatives.
  • Participate in SAP payroll testing, upgrades, and implementation projects.
  • Contribute to the development and documentation of payroll standard operating procedures (SOPs).

6. Reporting & Audit Support

  • Generate payroll reports, MIS reports, reconciliation reports, and management dashboards.
  • Support internal and external audits by providing payroll-related documentation and analysis.
  • Assist Finance teams with payroll accounting, accruals, and reconciliations.
  • Prepare statutory reports and compliance-related documentation as required.

Your success is grounded in:

  • Bachelor’s degree in accounting, Finance, Commerce, Human Resources, or a related field.
  • Minimum 5–7 years of experience in India payroll processing and administration.
  • Strong end-to-end knowledge of India payroll operations and statutory compliance.
  • Hands-on experience with SAP Payroll (Mandatory).
  • Experience managing quarterly and annual payroll tax filings.
  • Strong understanding of PF, ESI, PT, LWF, TDS, Income Tax, and other statutory requirements.
  • Excellent attention to detail and commitment to accuracy.
  • Strong analytical, problem-solving, and reconciliation skills.
  • Effective communication and stakeholder management skills.
  • Ability to handle sensitive and confidential payroll information with integrity.

Preferred Skills

  • Expertise in SAP HCM Payroll.
  • Strong proficiency in Microsoft Excel, including advanced formulas, pivot tables, and data analysis.
  • Experience handling payroll audits and compliance reviews.
  • Knowledge of payroll accounting and financial reconciliations.
  • Experience working in a shared services or global payroll environment.
  • Payroll, Finance, HR, or Tax-related certification will be an added advantage.

Working Conditions

  • Office-based role with flexibility for hybrid working as per company policy.
  • May require additional support during payroll cut-off periods, quarter-end tax filings, and year-end payroll activities.
  • Collaboration with HR, Finance, Tax, and external statutory authorities and Payroll vendors required.
