What will you do?
Reporting to the Siemens Digital Industries (DI) Sales Acceleration Manager, as Administrative Assistant, you will actively support the Digital Industries core management team by providing both operational and strategic support. If you're highly motivated, detail-oriented, and driven to make a meaningful impact, this could be the ideal role for you!
Responsibilities:
Operational Support
- Provide administrative support (Virtual and In-Person) with aspects such as, but not limited to: booking travel arrangements, event coordination, organizing meetings and conferences; accurately processing invoices; reconciliation of travel and expense reports.
- Manage the calendars for Digital Industries core management team enabling leadership effectiveness.
- Coordinate the preparation and distribution of information in advance of upcoming meetings.
- Manage all incoming and external phone and email requests while ensuring that the customer and business priorities are always being maintained and monitor flow of information on behalf of the sales management.
- Independently prepare correspondence in an accurate and professional manner.
- Manage mail distribution and locker allocations.
Systems & Tools
- Co-ordinate for ordering of mobile and IT hardware for team members as required.
- Support for on boarding and off boarding of employees.
- Catalogue Ordering for office supplies and promotional items through Siemens tools such as: MyMall (Amazon, prominate).
- Manage the end-to-end process for translation requests for announcements, including portal submission and vendor coordination, while also acting as a liaison between the requester and the vendor to ensure timely and accurate delivery of the final document(s).
Employee Experience & Enablement
- Assist DI employees in navigating internal tools and systems, contributing to operational efficiency and employee experience.
- Assist DI employees experiencing IT related issues, offering support and guidance to resolve or escalate concerns and contributing to a seamless productive work environment.
- Act as a key point of contact and back up for Digital Industries Management Team Assistant as required including vacation coverage.
Location: This is a hybrid role requiring in-office presence 1-3 days a week in the Oakville, ON office.
What will you need to succeed?
- Education: A post-secondary Degree or Diploma in Business Administration or a relevant field.
- Experience:
- Minimum 3 years of experience in an administrative support role in a corporate setting.
- Demonstrated experience supporting and working effectively with senior management.
- Experience working in a complex, matrix environment.
- Skills & Competencies:
- Exceptional communication skills in English, both verbal and written.
- Ability to build and manage relationships with internal and external stakeholders.
- Strong attention to detail.
- Excellent problem-solver with a demonstrated ability to research solutions.
- Ability to work with sensitive/confidential information while maintaining high degree of discretion and ethical standards of conduct.
- Ability to operate effectively in a fast-paced environment, with the ability to adapt to change and pivot as needed.
- Strong time management skills, with the ability to multi-task and prioritize effectively.
- Ability to work independently and take initiative; self-motivated.
- A collaborative team player who is eager to step in and contribute to team success.
- Demonstrated ability to think creatively and holistically, analyzing the broader organizational context to innovate and drive cross-collaborative success within a matrixed organization.
- Willingness to work flexible hours, with availability to accommodate early morning meetings or events as required.
- Technical skills: Advanced working knowledge of Microsoft suite of applications: Teams, Outlook, Excel, Word, PowerPoint, and SharePoint.
- Asset(s): Bilingual (English / French) communication skills, both verbal and written.
