Position Overview:
We are seeking a highly organized, meticulous, and collaborative Data Entry Specialist & Documentation Coordinator to join our EDA Sales Coordinator team. In this critical role, you will be responsible for accurately entering and maintaining essential data within our Contract Lifecycle Management (CLM) system, preparing vital certifications and requisitions, and ensuring the integrity and completeness of all related information. The ideal candidate will possess a keen eye for detail, a strong commitment to accuracy, and a proactive approach to partnering effectively with various groups across Siemens. Key Responsibilities:

  • Contract Lifecycle Management (CLM) Data Management:
    • Accurately input, update, and maintain contract data, vendor information, and other relevant details into our CLM system.
    • Perform regular data quality checks to ensure accuracy, completeness, and consistency of information within the CLM system.
    • Assist with the generation of reports and data extracts from the CLM system as needed.
    • Troubleshoot and resolve minor data discrepancies within the system, collaborating with IT or system administrators when necessary.
  • Certification and Requisition Processing:
    • Prepare, review, and process various certifications (e.g., compliance, quality, vendor) according to established procedures and deadlines.
    • Complete and submit requisitions for materials, services, or approvals, ensuring all required fields are filled accurately and supporting documentation is attached.
    • Partner closely with internal stakeholders across multiple Siemens groups to gather necessary information and ensure smooth documentation flow.
  • Data Integrity & Compliance:
    • Verify the correctness and completeness of all data and documentation before entry or submission.
    • Identify and flag any missing, incorrect, or inconsistent information, and proactively work with relevant teams to resolve discrepancies.
    • Ensure all data entry and documentation processes adhere to company policies, industry regulations, and compliance standards.
    • Maintain organized digital and physical filing systems for easy retrieval of documents.
  • Team Collaboration & Support:
    • Act as a strong team player, willing to support colleagues and contribute to a positive work environment.
    • Provide general administrative support as required, including document preparation, scanning, and archiving.
    • Communicate effectively and professionally with team members and other departments regarding data and documentation status.
    • Contribute to the continuous improvement of data entry and documentation processes, sharing best practices and insights.

Required Skills & Experience:

  • Associate's degree or higher preferred.
  • 2 years of experience in data entry, administrative support, or a similar role.
  • Proficiency with a Contract Lifecycle Management (CLM) software or similar enterprise system is highly preferred. 
  • Exceptional attention to detail and a strong commitment to accuracy.
  • Excellent organizational and time management skills with the ability to prioritize tasks effectively in a hybrid work setting.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Outstanding interpersonal skills with a proven ability to partner effectively with diverse internal teams and stakeholders.
  • Strong verbal and written communication skills.
  • A proactive and collaborative team player who is willing to work with multiple groups and contribute to shared goals.
  • Demonstrated ability to handle confidential information with discretion.

Preferred Skills & Experience (Optional):

  • Experience in a software environment.
  • Familiarity with compliance standards or regulatory requirements relevant to software industry.
  • Experience with other enterprise systems (e.g. SalesForce, SAP, Microsoft Tools)

This position will be subject to U.S. export control requirements under the International Traffic in Arms Regulations (ITAR) and/or Export Administration Regulations (EAR).  Employment is contingent on either verifying the U.S. Person status or obtaining any necessary export license.

The pay range for this position is 28.02 to 50.48 per hour. The actual wage offered may be lower or higher depending on budget and candidate experience, knowledge, skills, qualifications and premium geographic location.
