Job Purpose:
The Project Order Management Specialist plays a pivotal role in supporting the end-to-end execution of project-related order entry, meticulous documentation validation, timely system updates, and seamless coordination between our EA US Project Managers and Commercial Project Managers. This position ensures that all project orders are processed accurately and efficiently, contributing directly to project success and customer satisfaction.
Key Responsibilities:
As a Project Order Management Specialist, your main responsibilities will include:
- Order Management:
- Perform accurate Order Entry and Work Breakdown Structure (WBS) creation within ERP systems.
- Ensure the complete and timely booking of all assigned projects.
- Documentation & Handover:
- Actively participate in project handover meetings with Commercial Project Managers (CPMs) and Project Coordinators.
- Validate all necessary documentation received from the Head Office (e.g., Purchase Orders (POs), Master Project Agreements (MPAs)).
- Procurement & Financial Setup:
- Create Purchase Requisitions (PRs) as required for project needs.
- Support the administration of financial instruments such as Bonds and Letters of Credit (LCs).
- Set up initial Billing Plans to ensure proper financial tracking.
- Product Transparency Support:
- Assist in the initial product Order Entry (OE) for transparency and Proof of Concept (PoC) projects.
- Coordinate with project factories as needed and ensure timely updates in SieOps.
- Project Closure:
- Ensure all project documentation is properly archived and validated upon completion.
- Support the completion of project close-out and reconciliation processes.
Required Qualifications:
To excel in this role, you'll bring a blend of experience, technical skills, and a proactive mindset:
- Education: Bachelor's degree in Business, Logistics, Administration, or a related discipline.
- Experience: Minimum of 2 years of experience in order/project administration or support.
- Technical Proficiency: Proficient in ERP systems (e.g., SAP) and MS Office tools, especially Excel.
- Organizational Skills: Strong documentation and organizational skills with a keen eye for detail.
- Language: Fluent in English (both written and verbal) for effective communication with international teams.
- Financial Acumen: Basic finance knowledge to support procurement and billing tasks.
