We have an exciting opportunity for a Project Logistics Coordinator to join our Projects team in our Sydney or Melbourne office. Reporting to the Operations Team Leader this role will be both challenging and rewarding having full responsibility for proposals.

The Project Logistics Coordinator will advise on customer inquiries and create offers for our customers to create the prerequisites for closing a contract. You will oversee customer orders in the ERP system and determine the delivery dates to fulfill the customer order at the requested date. Control order-related compliance of the delivery dates and quantities to initiate proactive measures for optimizing delivery reliability in good time and to be always capable of providing order information, as well as controlling delivery dates and initiating deliveries. 

You will also handle back orders with automatic delivery collection to ensure delivery reliability to the customer. Arrange the quickest possible invoicing, performing the related post-calculation, controlling order cost receipt and utilizing the possibilities of additional charges to optimize the value flow and show a correct margin. You will plan the design of logistics and transport concepts with the customer in cooperation with logistics process planning, packaging planning and transport handling to safeguard the delivery process and minimize process costs. 

Other key responsibilities:
• Process Packing List & Commercial invoice documents by validating data.
• Create, assemble, and present applicable import/export documentation required per country specific destination in accordance with export laws and regulations.
• Ensure timely processing of import/export shipments.
• Submit timely document instructions to freight forwarders, independent surveyors, and other third-party industry providers.
• Communicate with appropriate internal/external customers, including, freight forwarders, vendors, and customers.
• Follow-up & coordinate with respective source point for meeting the customer urgencies.
• Maintain delivery files in an organized and catalogued system in OneDrive as per project standards.
• Support cross-functional departments involved in delivery.
• Vendor Management: Monitor and follow-up on vendor activities, highlight potential delays.
• Planning of material to meet on time delivery targets.
• Coordinate logistics between forwarders, unpack depot and site.
• Organize deliveries to site, maintain logistics data for all major project sites.
• Prepare customer reporting.
• Liaise with site, client and project manager about deliveries where site cannot accept within a timely manner.
• Prepare Purchase orders for projects to support Project Management
