Please note: This contract will be facilitated through an agency, this role is available as a 0.7-1 FTE position. 

You'll Make a Difference By:
  • Providing comprehensive administrative support to a vibrant team of approximately 60 people, ensuring their focus remains on innovation and strategic initiatives.
  • Meticulously administering attendance records, leave requests, and managing expense reports to maintain accuracy and compliance.
  • Playing a welcoming and supportive role in the onboarding and offboarding processes for new and departing team members, helping them settle in and feel integrated from day one, and ensuring smooth transitions.
  • Coordinating mandatory trainings and managing distribution lists to keep the team informed and compliant.
  • Orchestrating smooth office operations, from managing supplies and ordering essential overhead materials (like hardware, software, and equipment) to coordinating valuable training resources.
  • Overseeing and optimizing car pool operations, including reservations, efficient utilization planning, reporting, and maintenance scheduling for our shared vehicles.
  • Handling all incoming and outgoing parcels and mail, ensuring efficient distribution within the EU and beyond.
  • Building strong collaborative relationships with key internal departments such as Purchasing, IT, HR, and Marketing, ensuring seamless inter-departmental workflows.
  • Scheduling and organizing crucial meetings and appointments, optimizing our team's time and ensuring productive engagements. This includes coordinating events, town hall meetings, conference center bookings, and catering.
  • Providing invaluable logistical support for business travel, assisting team members with arranging air tickets, visas, insurance, accommodation, and other travel essentials for their global assignments.
  • Managing visitor logistics, including parking spot bookings, pick-ups, and hotel reservations, to ensure a welcoming experience.

Your success in this role will be built upon:
  • A completed high school education.
  • Excellent verbal and written communication skills in both English and Czech; proficiency in German is an advantage.
  • Strong proficiency in Office 365 applications, including Outlook, Excel, PowerPoint, and Word.
  • Exceptional communication and organizational abilities.
  • A demonstrated sense of reliability and the capacity for independent work.

Ideally, you'll also bring:
  • Previous experience working in an international environment.
  • Relevant administrative experience.
