Position Summary: 

The Program Coordinator role provides operational and administrative support to project teams to ensure effective coordination, reporting, and execution of day-to-day project management activities. The role focuses on driving organizational discipline, maintaining project hygiene, supporting stakeholder communication, and ensuring smooth execution of program management processes.

The individual is expected to work in a structured and detail-oriented manner while collaborating across multiple stakeholders, functions, and systems.

How You’ll Make an Impact (key responsibilities of role)             

Stakeholder & Meeting Coordination

• Schedule and manage meetings across teams
• Prepare agendas, materials, and logistics
• Coordinate leadership reviews and maintain calendars

Documentation & Follow-ups

• Capture meeting minutes, decisions, risks, and actions
• Maintain action trackers and ensure closure
• Publish structured updates and governance records

Project Governance & Reporting

• Prepare weekly/monthly reports and review decks
• Consolidate updates from workstreams
• Track milestones, risks, issues, and dependencies (RAID)
• Ensure accuracy of reporting data

Jira & Task Tracking

• Maintain tickets, epics, and backlog hygiene
• Track sprint progress and updates
• Ensure timely task closure

Procurement Coordination

• Support PR/PO documentation and approvals
• Raise and track POs in Ariba or similar tools
• Coordinate with finance, vendors, and stakeholders

Documentation & Process Management

• Maintain repositories and version control
• Support templates and governance artifacts
• Ensure audit-ready documentation

What You Bring (required qualification and skill sets)

  • Bachelor’s degree in business administration, Engineering, Management, Commerce, or related field, with 3-8 years’ experience
  • Good to have 3–8 years of experience in PMO, project coordination, program support, operations support, or administrative coordination roles
  • Experience supporting enterprise or cross-functional projects is preferred
  • Strong organization, multitasking, and follow-through
  • Effective stakeholder communication
  • Structured documentation and reporting skills
  • Understanding of project governance basics
  • MS Office, Jira, SharePoint/Confluence, Ariba (or similar)
  • Ownership and accountability, Attention to detail, Collaboration and professionalism
  • Adaptability in dynamic environments
