We are looking for a Internal Services Professional.
You’ll make a difference by:
Comprehensive Office Support:
- Providing general administrative support.
- Maintaining office supplies inventory and placing orders as needed to ensure smooth operations.
- Assisting with data entry, record-keeping, and document management, ensuring accuracy and accessibility.
- Coordinating office events, team gatherings, and internal communications.
- Acting as a first point of contact for internal inquiries, directing them to the appropriate team or individual.
Offer and Proposal Preparation (via PAR):
- Facilitating the preparation and submission of offers and proposals using our internal (PAR) system
- Collaborating with sales, technical, and legal teams to gather necessary information and ensure all documentation is complete and compliant.
- Reviewing proposals for accuracy, consistency, and adherence to company standards and client requirements.
- Tracking the status of offers through the approval process and providing updates to stakeholders.
Timesheet Consolidation & Reporting:
- Collecting, reviewing, and consolidating timesheets from various team members and departments.
- Ensuring timesheet accuracy, proper project allocation, and compliance with company policies and regulations.
- Assisting with the generation of reports based on timesheet data for payroll, project billing, and resource planning purposes.
- Following up on missing or incomplete timesheets to ensure timely submission.
Document Management:
- Organizing and maintaining physical and digital filing systems, ensuring easy retrieval of documents.
- Assisting with the creation, editing, and formatting of presentations, reports, and other internal documents.
Process Improvement:
- Identifying opportunities to streamline administrative processes and improve efficiency.
- Contributing to the development and documentation of best practices for office support functions.
You’ll win us over by:
- High school diploma or equivalent; a degree or certification in business administration or a related field is a plus.
- Proven experience (e.g., 2+ years) in an administrative, office support, or internal service role.
- Exceptional organizational skills and meticulous attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is a must.
- Strong verbal and written communication skills, with a professional and friendly demeanor.
- Ability to manage multiple tasks simultaneously, prioritize effectively, and meet deadlines.
- A proactive attitude and the ability to work independently as well as collaboratively within a team.
- Experience with internal approval systems or CRM software is highly desirable.
