You’ll make a difference by:

  • The Manager (Project Assistance) will support the Project Management Department in coordinating, monitoring, and ensuring smooth execution of multiple infrastructure and signalling projects. The role involves assisting Project Managers in planning, documentation, progress tracking, and stakeholder communication to achieve timely and cost-effective project delivery.
  • Additionally, the incumbent will plan and maintain the meeting schedules and travel plans of Project Managers to ensure seamless coordination across departments and project sites.
  • Project Coordination & Support
    • Assist Project Managers in preparing project execution plans, schedules, and milestones.
    • Monitor project progress and highlight deviations against baseline timelines and budgets.
    • Coordinate with engineering, procurement, and site teams for status updates and issue resolutions.
    • Support in preparing Monthly Project Reports (MPRs), PSR reviews, and client progress submissions.
  • Documentation & Reporting
    • Maintain updated records of project documents, contracts, and correspondence.
    • Assist in preparation of presentations, dashboards, and management summaries.
    • Support variation order, claims, and change management documentation.
  • Stakeholder Management
    • Facilitate communication between cross-functional teams, partners, and clients.
    • Follow up with internal departments and vendors for deliverables and approvals.
    • Support coordination of client meetings, inspections, and audits.
  • Commercial & Cost Control
    • Track purchase orders, invoices, and budget utilization in coordination with Finance/SCM.
    • Support cost optimization initiatives and value engineering activities.
  • Compliance & Quality
    • Ensure adherence to company policies, safety standards, and quality management systems (ISO/PM@Siemens, etc.).
    • Support project risk reviews and mitigation action tracking.
  • Managerial Support – Meetings & Travel Planning
    • Prepare and update the monthly meeting schedule of Project Managers.
    • Coordinate travel itineraries, accommodation bookings, and site visit plans.
    • Maintain consolidated records of meetings, MoMs, and travel expense reports.
    • Ensure alignment between project milestones and scheduled reviews.

Your success is grounded in:

  • Any bachelor’s degree
  • 5–6 years’ experience.
  • Analytical mindset with attention to detail.
  • Exposure to commercial and contractual terms.
  • Proactive and organized with multitasking ability.
  • Team-oriented and collaborative approach.
  • Strong sense of ownership and accountability.
  • Ability to work under pressure and meet deadlines.
  • Key Deliverables / KPIs
  • Timely submission of project reports and dashboards.
  • On-schedule progress updates with accurate data.
  • Effective follow-up and closure of project issues.
  • Contribution to cost and time savings in project execution.
  • Efficient coordination of meeting schedules and travel plans of Project Managers.
