Apply now for the position of Project Administrator (Fixed Term Contract) and you will help deliver new projects with Siemens Healthineers at our Sudbury site.

The Project Administrator supports the successful delivery of key site initiatives by providing comprehensive administrative and coordination services. This role ensures accurate record-keeping, document control, and compliance tracking across projects. Responsibilities include managing supplier communications, processing CRBs for new vendors and parts, and maintaining up-to-date documentation for QMS and regulatory requirements. The Project Administrator also assists with creating manufacturing work instructions in collaboration with engineering, schedules meetings, prepares agendas, records minutes, and follows up on outstanding actions. Additionally, the role supports onboarding processes for new team members and suppliers, ensuring all administrative requirements are met efficiently.

 Your Role:

  • Provide general administration for key project initiatives on site, ensuring accurate record-keeping and document management.
  • Support administration activities with supplier communications: reaching out to supplier contacts, coordinating responses, and maintaining up-to-date contact lists.
  • Own the processing of CRB’s for new vendors and new parts for the Sudbury site.
  • Track the completion of project paperwork, including QMS and compliance documents, ensuring all required documentation is received and filed appropriately.
  • Support with documenting manufacturing work instructions, working closely with the engineering function to document manufacturing steps in MS Word.
  • Follow up with internal and external stakeholders to ensure timely completion of outstanding paperwork and project actions, issuing reminders as necessary.
  • Support the project team in scheduling meetings, preparing agendas, and recording minutes.
  • Assist with the onboarding of new team members and suppliers, ensuring all administrative requirements are met.


Your Expertise:

  • Experience in an administration role.
  • You will be able to manage time effectively and possess a desire to succeed.
  • You will have a flexible approach and the ability to adapt according to the workload.
  • You are self-motivated, reliable, able to work on your initiative, manage time effectively, and possess a desire to succeed.
  • You will be an effective team member and able to communicate across functions.
  • Effective communication, ability to articulate in both written and verbal communication to a variety of stakeholders. Experience managing and influencing multiple stakeholders effectively. 
  • IT literate, proven experience of working with Microsoft Office.
