We’re looking for a highly organised and detail-focused Team Assistant to provide trusted support to our General Counsel and Company Secretary and play an important role in keeping our Legal function running smoothly.

You’ll work alongside experienced professionals, have exposure to a broad range of legal and business activities, and play a key role in keeping things organised, connected and operating at their best.
What you’ll do
- Assist with legal and company secretarial administration, including ASIC lodgements, maintenance of corporate registers and related corporate governance tasks.
- Prepare, format and proofread legal documents, correspondence, contracts, reports and legal advice.
- Assist with the preparation and distribution of board agendas, papers, minutes and action lists.
- Coordinate insurance renewal process with internal stakeholders.
- Undertake research tasks and prepare briefs.
- Manage billing, invoices, expenses and related administrative processes.
- Coordinate diaries, meetings, appointments, and travel arrangements.
- Manage the Legal team's inboxes, including monitoring, prioritizing and directing correspondence as required.
- Coordinate and administer document signing processes and workflows.
- Ensure documents and information are accurately filed and readily accessible.
- Identify opportunities to use AI tools and technology to improve administrative processes, streamline workflows and enhance efficiency.
- Provide general administrative support to the Legal team as required, helping with day-to-day matters and team coordination.
- Liaise with internal stakeholders, external advisers, customers and other contacts in a professional manner.
What you’ll bring
We’re looking for someone who is highly organised, reliable and detail-focused, with the ability to manage confidential information and multiple priorities.
You will ideally have:
- Previous experience as a Legal Assistant, Company Secretarial Assistant, Executive Assistant or similar role
- Experience supporting a legal, professional services or corporate environment.
- Strong document preparation, formatting and proofreading skills.
- Excellent attention to detail and accuracy.
- Strong Microsoft Office skills, particularly Word, Outlook and Excel, as well as experience using and administering SharePoint
- An interest in using AI tools and digital solutions that can improve processes and efficiency.
- A professional and discreet approach when handling confidential information.
- Analytical thinking and problem-solving skills.
- A willingness and eagerness to learn and grow.

This is a part-time position at 0.6 FTE (3 days per week), offering flexibility to support work-life balance.
