Our Smart Assistant Services team is a dynamic and growing part of Siemens’ Global Business Services in the CEE region, providing remote support to managers and teams located across multiple countries. Our motto is “We let you do your best, let us do the administrative rest” – and it’s achieved through a variety of administrative, technical and creative tasks within this crucial role. 

 
We are looking for a Virtual Coordinator with German and English. 
 
You’ll make a difference by: 
  • Managing complex executive calendars, ensuring smooth scheduling across time zones.
  • Coordinating meetings, often with high-level customers and stakeholders.
  • Anticipating and resolving scheduling conflicts with speed and discretion.
  • Arranging domestic and international travel, including flights, hotels, and ground transport.
  • Handling travel documentation, safety checks, visas, and expense reporting.
  • Supporting planning and logistics for events, workshops, and group meetings.
  • Providing flexible administrative support, including onboarding, reporting, and presentation prep.
You’ll win us over by: 
  • Having at least 2-3 years prior experience in a similar role (e.g. executive, business, office coordinator or support). 
  • Holding a relevant degree or equivalent practical background.
  • Being advanced in German and English. 
  • Communicating clearly while staying discreet, organized and detail focused.
  • Solving issues swiftly, effectively, and with ownership 
  • Being confident in your digital skills (especially MS Outlook). 
  • Enjoying cross-cultural teamwork and occasional travel (up to 10%).
