We are looking for Site Administration cum Commercial

You’ll make a difference by

  • Alignment with Section Managers pertaining to commercial matters according to the PM@Siemens standards
  • Indirectly all staff of the maintenance organization
  • Support of commercial matters including insurance, customs, foreign currency hedging etc.
  • Correct processing of financial transactions
  • Cost controlling and updating of the EAC
  • Invoicing and monitoring outstanding receivables as well as open purchase orders
  • Generate Invoice, prepare supporting and submit Invoice to Customer
  • Liaisoning for payment release from customer
  • Collaborating with the CPM and PM to develop project budgets, cost estimates, and financial plans. Monitoring and controlling project site expenses, ensuring they align with the budget.
  • Vendor and Supplier Management: Collaborating with procurement teams to select and manage vendors and suppliers. Negotiating contracts, evaluating performance, and addressing any commercial or financial issues that may arise.
  • Reporting and Documentation: Preparing regular reports on the project's site financial status, commercial performance, and overall progress. Maintaining accurate project documentation, including financial records, invoices, and other relevant documents.
  • Stakeholder Communication: Liaising with clients, subcontractors, and other stakeholders to discuss commercial aspects of the project site, address any concerns, and maintain positive relationships.
  • Ensures compliance of labour and other statutory laws at site location.
  • Assistance in legal and commercial contract matters
  • Support of risk management, claim management etc.
  • Support audits (internal and external)
  • Manage day-to-day functioning of the site office, including housekeeping, utilities, and office equipment.
  • Maintain adequate stock of stationery and other office supplies
  • Ensure proper functioning of communication systems (internet, phones, printers, etc.) and onetime payment of Utility bills
  • Maintain attendance, leave records, and shift rosters for site staff and workers
  • Assist in onboarding new employees/contract workers at the site by providing ID cards, induction, document etc.
  • Coordinate accommodation, transport, Conference room booking, Seating arrangement and food arrangements for staff and visitors.
  • Act as the point of contact between the site and head office for administrative matters.
  • Coordinate for site access for visitors, safety clearances, and administrative approvals.
  • Assist in maintaining site registers required by labour laws and safety regulations.
  • Circulate notices, circulars, and updates to site staff as per company policy.
  • Asset Management and its Control

Desired Skills:

  • Bachelor or a Certificate / Diploma in Business Administration/Bachelor of Commerce or equivalent
  • Has five years of working experience in projects incl. project accounting and Administration
  • Has an experience in project controlling and / or cost controlling
  • Strong understanding of contract management and commercial principles.
  • Has a good command of both the spoken and written English language
  • Has good computer skills and knowledge of SAP software
  • Having excellent negotiation and Liaisoning skills
