Commercial Project Assistant
Supports Commercial Project Managers (CPM), Project Managers (PM) and the project team by assisting with commercial, financial and administrative matters throughout the project lifecycle, ensuring compliance with Financial Reporting Guidelines (FRG), PM@Siemens standards and customer requirements.
Support Commercial & Administrative Tasks:
• Supports CPMs in managing all commercial/financial administrative tasks
• Assists in tracking projects throughout the Project Life Cycle until final acceptance (FAC)
• Supports monitoring of financial results (e.g., project gross profit, cash flow, assets and financing instruments)
• Assists in handover phase documentation and analysis of customer requirements
• Supports the review of contract conditions and prepares documentation for Contract Management / Legal review
• Helps prepare commercial topics for project status meetings
• Assists in documenting risks & opportunities as defined in FRG and PM@Siemens guidelines
• Supports documentation for internal controls (RIC)
• Assists in warranty phase documentation and tracking
• Assists in preparing documentation for signature rights and empowerment processes
Support Customer Requirements Management:
• Prepares materials for customer reports and meetings
• Supports CPMs and PMs in preparing customer documentation
• Helps coordinate responses to customer inquiries on commercial issues
• Assists in maintaining communication with customer representatives
Support Project Finance Management:
• Assists in maintaining accuracy of cost and pricing calculations
• Supports preparation of project books and records, including data entry in SAP and other systems
• Prepares commercial documentation for regular project status meetings
• Assists in verifying accuracy of commercial project data (e.g., Cost Calculation, Cash Flow)
• Supports asset management activities and invoicing processes according to project progress
• Assists in ensuring compliance with Siemens FRG and local GAAP requirements
• Helps track and monitor financial milestones and deadlines
Support Contract, Risk/Opportunity and Change Order Management:
• Assists in monitoring compliance with LOA guidelines for commercial aspects
• Supports documentation for contract/claim/change order negotiations
• Helps track and document commercial project risks
• Assists in communicating relevant commercial contractual obligations to project team members
• Assists in tracking opportunities to improve gross profit within ongoing projects
Support Stakeholder Management:
• Assists in coordinating communication with internal and external stakeholders
• Supports efficient communication processes with relevant stakeholders
• Assists in documenting and tracking stakeholder requirements
Support Compliance to Standards, Rules and Regulations:
• Supports project members in adhering to Business Conduct Guidelines and establishing a culture of trust and integrity (e.g. adherence of tax regulations, FRG, Signature rights, segregation of duties, local standards and laws)
• Helps maintain compliance documentation and records
Support Project Team:
• Assists in managing documentation for financial Guarantees, Bonds and other commercial topics
• Supports tracking of non-conformance costs and establishing an appropriate reporting structure
• Contributes to a trustful and cooperative team environment
• Assists in organizing and documenting lessons learned activities
• Maintains project financial reports and documentation systems
