What will you do?


As a Client Service Administrator - Building Automation, you will act as the primary point of contact for a portfolio of service customers, ensuring exceptional service delivery, strong customer relationships, and successful contract performance. This role is ideal for a highly organized, detail-oriented professional who enjoys solving problems, coordinating multiple priorities, and delivering seamless customer experience. You will work closely with customers, technicians, dispatchers, project managers, and sales teams to coordinate service activities, manage contract renewals, and support the overall success and growth of assigned accounts.


RESPONSIBILITIES:


Customer & Account Management

  • Continually review customer needs and service demands and optimize Service Technician activities across assigned accounts (e.g., maintenance visits, repairs, training demonstrations).
  • Serve as the primary point of contact for assigned customers, ensuring a high level of service delivery and customer satisfaction.

Contract Admin & Management

  • Manage all aspects of assigned service contracts, including contract deliverables and financial details.
  • Lead the contract renewal process in partnership with the Service Manager, ensuring renewal pricing is accurate and supports profitable year-over-year growth.
  • Ensure renewal quotations are provided to customers and agreed upon at least one month before contract expiration.

Service Operations & Project Coordination

  • Provide guidance to the Service Supervisor and Dispatcher regarding service visits and address customer call-back issues.
  • Collaborate with the Service Small Works Project Manager to coordinate and transition applicable small work projects.

Cross-Functional Collaboration & Support

  • Partner with Service Project Sales to identify and share service lead opportunities.
  • Support the quotation process and contribute to maximizing service and project growth opportunities within assigned accounts.


Location: This position supports the Ottawa/Kingston ON area. This is a hybrid role requiring in-office presence 1-3 days/week.


What will you need to succeed?


Experience

  • 3-5 years of experience in supporting customer accounts, service contracts, contract administration, contract renewals or maintenance agreements, service operations, or related role.
  • Building Automation Systems (BAS) experience preferred.
  • Knowledge and/or experience within Building Automation, Building Technologies, Facilities Management, HVAC, Fire, or Security industry is an asset.

Customer Service

  • Strong customer focus - able to sell small work and manage service maintenance performance for outstanding customer satisfaction
  • Ability to build and maintain positive customer relationships while identifying opportunities for additional service or small work opportunities

Organization & Time Management Skills

  • Proven organizational skills with the ability to plan effectively and prioritize workloads.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong coordination and delegation skills when working with technicians, dispatchers, supervisors, and project teams.
  • Detail-oriented with strong follow-through and problem-solving capabilities.

Technical Skills

  • IT literate; Strong general computer and technology skills.
  • Strong working skills with Microsoft Office applications (Outlook, Word, Excel, Teams).
  • Comfortable using service management, scheduling, or customer relationship management (CRM) systems.

Core Competencies

  • Strong verbal and written communication skills in English.
  • Ability to collaborate effectively with customers, service teams, project managers, sales teams, and internal stakeholders.
  • Comfortable handling customer inquiries, escalations, and call-back issues professionally.
  • Self-motivated with the ability to work independently; Calm and professional under pressure.
  • Demonstrates initiative, accountability, and a proactive approach to customer support.
  • Strong problem-solving and decision-making abilities.

[Salary is commensurate with experience, and ranges between $54,000 CAD - $75,000 CAD, excluding benefits.]
